The Fleet Coordinator oversees all aspects of vehicle maintenance, safety and compliance in accordance with TransWest, State Agencies and the Department of Transportation (DOT) requirements to ensure consistent coverage of service needs across all our client location and transportation service networks.
Through accurate tracking and scheduling, the Fleet Coordinator is responsible for proactive fleet maintenance and needed repairs for fleet vehicles while maintaining vendor relationships.
The Fleet Coordinator works with the local operations team to maintain safe and reliable vehicles for staff and clients while reacting to service needs, conducting minor vehicle repair in the field, orchestrating vehicle change outs, while ensuring minimal service interruptions.

Essential Functions:
Coordinate and facilitate TransWest Fleet Maintenance and Safety Programs by partnering with the operations team.
Schedule and review all fleet maintenance; regularly inspect all vehicles for condition and operational safety; ensure maintenance of the highest level, including physical appearance.
Negotiate pricing with vendors for all service needs and requirements and work closely with Director of Operations to keep costs at a minimum for required work.
Research and recommend new and replacement equipment and/or technology to effectively support fleet operations:
stay abreast of new and replacement equipment trends for improving fleet operations; prepare cost benefit analyses for management review.
Address immediate fleet concerns and maintain fleet maintenance records:
review driver defect reports on a daily basis, and trouble-shoot/resolve issues to reduce the number of road calls and ensure a high level of safety within all operations.
Track daily vehicle reports, maintenance and repair records, registrations and insurance records to ensure all maintenance files are accurate and current; and prepare the annual fleet maintenance report for management review.
Be available and reactive to maintenance needs to ensure minimal service disruptions for our client and our vehicles, assisting with vehicle change outs, vehicle transportation and/or minor vehicle maintenance needs whether in the field or at home base.
Make appropriate arrangements to have inoperable vehicle or equipment repaired or towed.
Responsible for the overall management of on-board shuttle technology such as Wi-Fi devices, telematics systems and vehicle tablets to ensure the systems are functional and installed accordingly.
Update maintenance reports, vehicle tracking, repair costs and other reporting as needed through our fleet software platforms.
Maintain vehicle cleanliness by overseeing vehicle washing and detailing.
Partner with TransWest ownership and assist with managing the life cycle of vehicles, sourcing and procuring new vehicles and disposing of old vehicles taking into consideration TransWest's best interests.

KEY POSITION COMPETENCIES:
Knowledge of vehicle maintenance practices in a commercial setting, servicing a variety of vehicles.
Vehicle maintenance shop management and the mechanical workings of gasoline and diesel chassis.
Knowledge of vehicle electronics and aftermarket equipment used in passenger transportation.
Knowledge of maintenance tracking systems and applicable computer software (fleet telematics).
Knowledge of vehicle procurement and service contract negotiation.
Knowledge of software applications, proficient with MS Office (Outlook, Word, & Excel), and ability to learn other applicable software as required.
Strong writing, documentation and communication skills.
Excellent customer service skills.
Able to establish and maintain effective working relationships at all levels of the organization.
Ability to maintain regular workflow while responding to emergent issues.
Ability to work in a stressful and possibly disruptive environment.
Requirements High School Diploma or equivalent Minimum of three (3) years maintenance experience working with a variety of vehicles.
Minimum of one (1) year working as a supervisor or manager in a maintenance shop, or as a fleet coordinator Management experience may be substituted for a portion of direct maintenance work Must have an acceptable Motor Vehicle Record (MVR) Must be 21 years of age Current Illinois State Driver's license or able to obtain a Illinois State Driver's License within 30 days of start date or transfer Must have an active US DOT Medical Card or be able to obtain a US DOT Medical Card by the start date Preferred:
Commercial Driver's License with a P Endorsement or be able to obtain within 90 days of start date.
Ability to be flexible in schedule in order to meet operational needs.
This may require occasionally working outside of regularly scheduled hours.
Must be willing to work in outside environments, which may include inclement weather.

65 an hour depending on experience -Holiday Pay - Medical, Dental, Vision, Life and 401k with matching available for team members that work 20 hours a week or more.
